Capturing precious or important moments at your event can be crucial and an important measure of its successful. As you may know, if the opportunities are missed it can be devastating and have residual impact.
The key to making sure this doesn't happen to you or your clients, is thorough planning and communication with your photographer.
When working with photographers ensure the following details are spelled out in your contract or agreement:
The number of images you will receive.
What date you will receive the images.
How will you obtain the images (zip drive, drop box, access code to an online album, etc.).** Note that some online albums are only available for a certain amount time.
Will all images be digital or will there be some print photos that you will receive.
Shots that you want them to capture - certain people, special moments at the event or even decor photos.
It is essential that you establish in great detail what moments you want them to capture. Along with providing your photographer with the event timeline I would recommend that you create a detailed shot list to review with them ahead of time. Be detailed and thorough with your outline of coverage.
It is equally imperative, to setup a time to review each shot list detail with your photographer, so they fully understand your expectations.

I have worked many fantastic photographers in the past, but I have also had some challenges too. The tips above all came from situations that were a challenge for me and my clients.
On one occasion I had photographer not capture a prominent speaker even though we had discussed it prior to the event on multiple occasions. It was very disappointing to the client, because there was no way to go back and take the photo.
