Creating a plan for all the event logistics to go according to plan is just as important as planning for what could go wrong.
When planning for an event it's easy to get wrapped up in the million little details. You have a checklist and you are diligently crossing things off as you go.
One aspect of the planning that is often overlooked are the elements of the event that can go wrong.
With 17 years of event planning I have experienced a lot of crazy things for instance, a building catching on fire, a catering vendor running out of food at the beginning of the event, or an attendee unplugging a large screen during a live broadcast presentation from the CEO of a billion dollar pharmaceutical company.
I have learned to ask myself before every event...what could go wrong?
Not because I'm a pessimist, but rather to my core I'm a planner and I want to be prepared for anything.
There are some details that can be unpredictable or out of your control, like mother nature, accidents, or curve balls from clients. While other potential hot buttons can identified in advance.
Identifying and creating plans in advance for events big and small challenges, will allow you to address the situation if it occurs. Be proactive not reactive!
Here are few common challenges and things to consider prior to your event date:
Rain (Rent large tents, have an indoor backup space, or possibly an alternative venue)
Intoxicated guests (Ensure that the bar staff is well trained, have security present if necessary and set limits on consumption)
Running out food or beverages (Calculate guest count, back-up options, and or worst case scenario stores close by)
Sound or Power issues (Testing power beforehand, AV sound checks or renting a generator)
Hot Buttons - aka issues from previous events.
Vendors not arriving on time (Create a detailed run of show and share with the vendors. Additionally you can send calendar invitations to avoid any all confusion.)
Many of these challenges can be avoided with thorough communication and pre-planning.
